1.0 I have got an error message during install, what to do?

These errors are related to internal problems of the Windows installer. You find detailed instructions at Microsoft
support. Please refer to http://support.microsoft.com/default.aspx?scid=kb;en-us;Q236437 .

1.1 How can I setup my dial-up connection, in order to make it start and close automatically when downloading new e-mails.

1.1.1You choose Outlook 2000 as email program in Phone Office.

a)Please choose account setup.
The accounts are in the menu - >Tools -> Accounts


A form appears with a list of Mail accounts. Please, select your mail account and press Properties button.

A form with several pages (TABs) appears.
Click on the tab with heading Connection

If you like to receive your Mails over LAN, click on LAN Connection.
If you like to receive your Mails over dial-up connection, click on "connect using my phone line". (be not irritated that on the form you don't have an ISDN card, just check there ).
Afterwards, please select the dial-up Networking connection you prefer.
Then click on Apply button.

The form will close.

b) Please select Options menu.
The accounts are in the tab - > Tools - > Options

A form with several pages (TABs) appears. Click on the page with heading Mail Delivery.



Activate:
- Hang up when finished, sending, receiving, or updating.
- Automatically dial when checking for new messages.

You can check also Check for new messages every 240 minutes. In this case Outlook starts every 240 min. the dial-up connection, receives emails and after that hangs up the connection. The e-mail check normally takes some seconds. Disadvantage are the communication costs. Advantage is that you do not wait within Phone Office connections to receive emails, which can take a while. You decide, what is more suiting for you.
There is a bug at Microsoft Outlook 2000. It is not ensured that always other programs can start the e-mail download with MS Outlook. If this malfunctioning concerns you, you must adjust the Phone Office to work with Outlook Express or MS Outlook to check every ... minutes for e-mails. Adjust. This malfunctioning concerns only the single workstation version of MS Outlook.

Press Apply and OK button. That form will close. You are finished with the adjustments

You can test the adjustments, pressing Send/Receive buttons.

The dial-up connection starts automatically. New e-mails will be received if present. The dial-up connection automatically hangs up.

1.1.2 You choose Outlook Express as email program in the Phone office.

a) Please select your account setup. The account setup is in the tab - > Tools - > Accounts

A form with a list of your mail accounts appears. Please select your mail account and press the Properties button.

A form with adjustments for the selected e-mail account appears. The form has several folders.

Click please the tab Connection.

Click the Check Box Always connect to this account using: In the selection box select the preferred dial-up connection.

Finally, press the button Apply and the Button OK.




Press the Button Close.

b)Please select the option setup.

The accounts setup is done by the tab - > Tools -> Options

Click on the tab Connection and CHECK the box

- "Ask before switching dial-up connection" and
- "Hang up after sending and receiving".

Finally, click the Button Apply and the Button OK

Press on Send/Recv.

The following form appears:

Check the setup of dial-up connection and click the check box "Connect automatically". Press the Button Connect.
If you press on Send/Recv the Dial-up connection starts and closes automatically after receiving e-mails.

1.2 How can I register my program?

1.I have got a demo version!


Please goto http://phoneoffice.xi-tec.com and click "Buy PhoneOffice".
Please register or - if you are already registered - log in and download the
desired version
of PhoneOffice. Please install after download.


2.I bought and paid the full version!


Install and start please the program. At first start the following window
appears:

Please read carefully the license conditions and click on I accept license agreement if you agree.
Please start your internet connection!
Input the User name and password you indicated when registering. Then click get license.
The program will connect to our license server and check your data. If the input is correct and
the payment has been made, your program will be automatically enabled
(bank transferral within 24 hours after receiving the amount due, credit card payment
immediately if credit card is accepted).

1.3 I have a demo program? How can I buy the full version of the program?

Through http://www.phoneoffice.xi-tec.com or through authorized dealers you can buy the program.

1.5 How can I use other TTS Engines?

A text to Speech engine (TTS) is independent from the programm and installed as component of the program. In the selection box 'engines' on the TTS page in the configuration menu you will see whether other TTS are installed on your computer. There are different providers of TTS. Some are available in the Internet. You can download them TTS from the internet:

GERMAN http://activex.microsoft.com/activex/controls/agent2/lhttsged.exe
ENGLISH http://activex.microsoft.com/activex/controls/agent2/lhttseng.exe

Install the program. Start Phone Office configuration menu and go on the Text to Speech page. There select the new TTS engine and press the Button Apply.

1.6 Do I need a sound card

For telephone operation you do not need a sound card. It is needed for the simulation mode and for the demo version. If you do not have a sound card, you can test the TTS adjustments
(height, volume, language rate) over telephone.

1.7 Which modems are supported by the program?

PhoneOffice supports only modems with "automated voice" functionality.
Nearly all newer modems support this functionality.
We are planning to integrate support even for other modems.

1.7.2 Modem is not initialized at start, what should I do?

At start the following message is shown:

1. Possible reason: You did not select the right chipset. Repeat the search as by " The voice output is incomprehensible. What should I do?"
Select another entry out of the list.

2. Possible reason: No modem installed or not swithed on. Check the Windows modem settings, the cabling or if your modem is switched on. Eventually run the Windows modem diagnostics.
After that, restart the program.

1.8 Which ISDN types are supported by the program?

- A Pentium II / Pentium II-equivalent or later processor at 233 MHz with 128 MB is recommended.

1.10 What is a call by call Provider?

This is a telephone company, that offers services by dialing of an additional number (example: 01078 089-9999000). In this way you call through the respective telephone company. Get informations about the actual prices. There are Internet companies making price analysis. So e.g. for Germany:

1.11 Warning: "Outlook Express or related components are not installed."

The Message:


appears at the start of the program.
There are two possible reasons for this message:

  1. Outlook Express is not installed. You may continue with Microsoft
    Outlook.
  2. Outlook Express is installed, but no e-mail account has been set. If you
    want to continue with Outlook Express, please install an e-mail
    account
    .

2.1 When do I need a call back service?

You will made a contact with Phone Office (at home). The telephone rates of the national network, public phones, hotel phones or wireless phones may be completely different. Let Phone Office connect you. Recalling using telephone provider will save still more.

2.2 What can I do to improve the comprehensibility over the telephone?

to vary the TTS adjustments. The correct height, volume, and the language rate may be adjusted by you using the automatic controllers.
- over the selection box Speaker you can modify the type of voice.
- test other TTS Engines. For this purpose you install other engines (FAQ question 1.5) of another TTS- provider. Do not forget to press Apply Button after the modifications.

- The quality of the analogue version's voice output depends on the modem
type, the TTS engine and the settings of the TTS engine.
- The quality of the ISDN version's voice output depend on the TTS engine
and the settings of the TTS engine.

2.3 I receive Mails from other countries? Can I read them?

In the version 2 many new features will be added. The e-mail service is extended, in order to read out e-mails in different languages

2.4 If I call my PC, PhoneOffice does'nt respond

ISDN Version

1.Possible reason: You did not input the right telephone number in the ISDN form

2. Possible reason: Your PC-ISDN connection does'nt work. Check the ISDN card.
3.Possible reason: You have forgotten to restart the program after installation.

Analogue Version

1. Possible reason: You did not select the right chipset. Repeat the procedure as by "The voice output is incomprehensible. What should I do?"
Select another chipset out of the list.

2. Possible reason: Modem is not installed or switched off.
Check the Windows Modem settings, the driver, the cable and if your modem is switched on.

Run the Windows Modem Check.

Can I use web mail (yahoo.com or others) ?


GMX is a very good and RELIABLE email provider. Since GMX is the biggest provider of free email in Germany it is for sure here to stay. Also, you can choose between nine languages for the user interface.
POP3: pop.gmx.net
SMTP: mail.gmx.net
Remark1: "POP before SMTP" authentication needed
Remark2: Your POP log-in name is your account number, something like 378800, and not your user name!



A service with a very good web interface in addition to free SMTP / POP. In order to use the SMTP/POP services you have to sign up for "Yahoo! Delivers" after signing up for the email service itself.
POP3: pop.mail.yahoo.com
SMTP: smtp.mail.yahoo.com
Remark: "POP before SMTP" authentication needed

How to Configure a POP3 E-mail Client :
The following are the basic server settings for Yahoo! Mail:
Incoming Mail (POP3) Server: pop.mail.yahoo.com
Outgoing Mail (SMTP) Server: smtp.mail.yahoo.com
Account Name/Login Name: Your Yahoo! Mail name (your address without the "@yahoo.com")
E-mail address: Your Yahoo! Mail address (i.e. user@yahoo.com)
Password: Your Yahoo! Mail password


How to Add a New E-mail Account to Your Existing Profile
On the Tools menu, click E-mail Accounts .

Click Add a new e-mail account , and then click Next .

Click the Add button.

Choose "POP3" and click next.

Enter your e-mail account information.

In the Your Name box, type your name as you would like it to appear.

In the E-mail Address box, type your Yahoo! e-mail address, for example, user@yahoo.com.

In the Incoming mail server (POP3) box, type pop.mail.yahoo.com .

In the Outgoing mail server (SMTP) box, type smtp.mail.yahoo.com .

In the User Name box, verify that everything before the at symbol (@) symbol of your Yahoo! e-mail address is displayed.

Enter your Yahoo! password.

How to Control Deletion of Messages from the Yahoo! Mail Server


Click the More Settings button.

Click the Advanced tab.

Click to select the Leave a copy of messages on the server check box if you want to save your Yahoo! Mail messages on the Yahoo! Mail server as well as on your local computer. If you want your messages to be deleted from the Yahoo! Mail server once you have received them, do not check select this option.

Click OK .

Click Next .

Click Finish .

Can I use AOL mail?

Yes.
Please, use AOL Agent http://www.enetbot.com/faq.htm#whatis

eNetBot Mail is a POP3 / SMTP agent for AOL that allows you to read your
AOL TM mail from any POP3 compliant email program, such as Microsoft Outlook, Outlook
Express,Eudora and Netscape mail
. You can also send mail from any SMTP compliant
mail program.

Yes.
Please, add a new e-mail account in Outlook/Outlook Express.
